Professional quotation preparation
Due to SMARTCRM and the interface to Microsoft Word, included in the standard, there is the option to create quotations directly out of the CRM system. You have then the possibility to choose between a quick quotation with a fixed layout and an extensive quotation with product pictures as well as descriptions of each positions. The required product information can be imported from different data sources, from the ERP system for instance.
SMARTCRM facilitates the preparation of quotations for example using text modules – for each product and in several languages. Discounts, special prices or similar can be recorded into the CRM system. However, if a discount applies only to a single quotation, it can be defined down to the position level. If required, the product texts can also be edited individually in each quotation. If you have to create a second quotation for a project that deviates only slightly from the original offer, you can simply take over its positions including the text modules. This saves time and effort. The individual positions can be assigned to offer blocks such as service, products of type A, maintenance, etc. So the finished quotation is particularly clear. For the quotations, free-definable templates can be deposited in SMARTCRM, so that all quotations are sent in the layout that matches the corporate identity and the corporate design of the company.
SMARTCRM also supports the topic Corporate Design that encompasses the entire uniform appearance of a company. The aim of the Corporate Design is to make a company appear as a unit to the outside world and to achieve a high recognition value. SMARTCRM achieves this goal in the preparation of quotations, as freely configurable templates can be stored in the CRM system. This implies that all quotations can be sent in the layout that corresponds to the corporate design – from the company logo to the color concept up to the uniform print.
If the quotation is created in SMARTCRM, it is automatically filled with all necessary information. This starts with the cover letter and recipient – as well as editor data and ends with the descriptions, pictures and prices of the offered products. SMARTCRM automatically calculates the total, the block totals, discounts, etc. You just have to sign at the end of the document. When saving the quotation in SMARTCRM, a PDF file can be additionally created to the Word document with just one click.
If you send the document per e-mail out of SMARTCRM, it will be archived in the CRM system as well. This way the dispatch of the quotation is also documented. When sending the quotation, a task can be automatically created for the employee in charge. So, follow-up activities can also be specifically controlled in this way.

All documents are centrally archived in a system – no matters whether the quotations were created in SMARTCRM, imported from an ERP system via the interface, or from another data source. This enables both a simple tracking and a comprehensive evaluation of all offer phases. SMARTCRM provides a clear overview of which phases the projects are currently in, how many quotations there were per project, which quotations are still open and which one have been changed into an order at a glance. Thus, all projects can be evaluated according to numerous criteria. In addition, SMARTCRM offers an up-to-date overview of the forecast at any time and provides you with the tools for optimal planning.
All quotations can be visualized at all times on your mobile terminals. SMARTCRM provides these also offline on notebooks or online via an App for iOS and Android.
